Trello can ease the task of organizing your projects that need to be completed quickly. Trello is roughly inspired by the Kanban project management system that uses lists and cards to organize your tasks in a consistent workflow. In Kanban, the list here is one phase of your workflow, and the lists go from left to right as tasks progress through each step. What is Trello and How is it Used?
Trello is a powerful tool that can work as a personal to-do list, or a powerful project management system you can use to assign tasks and coordinate work to everyone in your company. Trello uses common terms youll recognize from other productivity apps. Lets get acquainted with them before moving on to how Trello is used:
- Boards: Trello organizes all your projects into separate groups called boards. Each dashboard can contain multiple lists, each a set of tasks. For example; You can have a dashboard for books you want to read or have read, or a dashboard to manage the content you plan for a blog. You can view multiple lists on a board at a time, but you can only view one board at a time. It makes most sense to create new boards for separate projects.
- Lists: You can create an unlimited number of lists within a board that you can fill with cards for specific tasks. For example; To prepare a website, you can have a dashboard with separate lists for designing the homepage, creating features, or backing up. You can use lists to organize tasks by their assigned person. As parts of a project move through the pipeline, the tasks youre working on move from left to right from one list to the next.
- Cards: Cards are individual items in a list. You can think of cards as reinforcing list items. They can be specific and applicable. You can add a description of a task, comment on and discuss it with other users, or assign it to a member of your team. If its a complex task, you can even add files to a card or a checklist of subtasks.
- Teams: In Trello, you can create groups of people called Teams to assign to boards. This is useful in large organizations where you have smaller groups that need access to specific lists or cards. You can create a team of several people and then quickly add that team to the board.
- Power-Ups: In Trello, add-ons are called Power-Ups. In the free plan, you can add one Power-Up per board. Boosters add useful features like a calendar view to see when your cards are due, integration with Slack, and connecting to Zapier to automate your tasks.
How to Create a Board in Trello
Open Trello from your web browser, desktop or mobile, sign in with your Google account. Follow the steps below to create a clipboard:
- Under Personal Boards, click the box that says Create new board....
- Give the board a title. You can also choose a background color or pattern that you can change later.
- If you have more than one team, select the team you want to grant access to the board.
Your new board will appear alongside any other boards you use on the Trello homepage. If youre part of more than one team on the same account, the boards are sorted by teams. If you do not already have a team created, you can add members to your board one by one. For this;
- Open the board on your Trello homepage. Click the Share button at the top of the dashboard on the left side of the page.
- Find users by entering their email address or Trello username. You can also share a link if you dont know this information.
- After entering the names of all the members you want to add, click Send Invite.
You can correspond with the members on your board in the comments section of the cards and assign tasks.
How to Create Lists in Trello
Now that youve created your boards and added your team members, you can start organizing your tasks. Lists give you great flexibility to organize your tasks. For example; You can have three lists: To Do, Preparing, and Done. Or you can have a list for each member of your team to see what roles each person has in their department. Creating lists is easy;
- Open the board where you want to create a new list. To the right of your lists (or below the board name if you dont have one yet), click Add list.
- Give your list a name and click Add List.
- Below your lists will now be a button to add cards.
How to Create Cards in Trello
Now you need to add some cards to your list. You have many options in the cards, so we will only show the basics.
- Click Add Card at the bottom of your list.
- Enter a title for the card.
- Click Add Card.
When clicking on a card, you can add a description or comment that everyone on your team can see. You can also add a checklist, tags and attachments from this screen. Its worth exploring what cards can do when organizing tasks for your projects.
How to Assign Cards and Set Expiry Dates in Trello
Trello cards come with many features, but the most useful ones are adding members and expiration dates. If youre working with a team, want to know who is working on a task or want to make sure that people are notified about updates. Even if youre using Trello on your own, deadlines are important for keeping track of when things need to be done.
Trello doesnt use assignments in the traditional sense, but you can add one or more users (members) to a particular card. If you assign only one person to a card, this is useful as it shows who a task is assigned to. It really works if youre sticking to one member per card, but you need to add multiple members to a card for everyone to receive updates on a particular task. All members of a card receive notifications when the card is commented on, when the card is nearing its expiration date, when the card is archived or when attachments are added to the card. To add members to a card, follow these steps:
- Click on the card you want to assign a user to.
- Click the Members button on the right side of the card.
- Search for users in your team and click on each to add them.
You can see the profile icon of anyone you add to a card directly in the list; this is a quick way to see who is doing what. Then you may want to add due dates to keep track of everyone. To add an end date, follow these steps:
- Click the card for which you want to add an expiration date.
- Click End Date on the right side of the card.
- Select an end date from the calendar tool, add a time, and click Save.
Due dates appear on cards in your lists, as do card members. For expiration dates of less than 24 hours, a yellow tag will appear, and expired cards will appear in red.
How to Add Tags to Cards in Trello
Gray cards in slightly darker gray lists can create a visual mess. However, even when you move a card from one list to another, Trello lets you add colored labels that can help you identify what task the card is assigned to and which group the card belongs to. You can give each label a color, a name, or both. To add a tag to a card, follow these steps:
- Click the card you want to add a tag to.
- Click Tags on the right.
- Select a tag from your list of available tags. By default, several pre-selected colors are shown. If you wish, you can add a title by clicking the edit icon next to the tag.
After adding tags to your cards, look at your lists; You will see a small color line on the card. You can add multiple tags to a single card. By default you only see the colors for each tag, but if you click on the tags you can also see the titles of those tags.
How to Search -With Shortcuts- in Trello
It may be relatively easy to see everything at a glance for a small, personal board, but as your lists grow, and especially when youre on a large team project, youll need to search. There are a number of useful keyboard shortcuts that can help you find what youre looking for. Trello keyboard shortcuts include:
- Navigating Cards: Pressing the arrow keys selects neighboring cards. Pressing the J key selects the card below the current card. Pressing the K key selects the card above the current card.
- Opening the Admin Dashboards Menu: Pressing the B key opens the header menu. You can search for boards and navigate with the up and down arrow keys. Pressing enter opens the selected clipboard.
- Opening the Search Box: Pressing the / key moves the cursor to the search box in the header.
- Archiving Card: The c key archives the card.
- Expiry Date: The d key opens the cards expiry date view.
- Adding a Checklist: Pressing the - key adds a to-do list to a card.
- Quick Edit Mode: Pressing the E key while on a card opens the quick edit mode for you to edit the card title and other card properties.
- Closing the Menu / Canceling Editing: Pressing ESC closes an open dialog or window, or cancels edits and unposted comments.
- Saving Text: Pressing Control + Enter (Windows) or Command + Enter (Mac) will save any text you type. This feature works when writing or editing comments, editing card title, list title, description, and more.
- Opening Card: When you press the Enter key, the selected card is opened. When adding a new card, press Shift + Enter and it will open after the card is created.
- Opening the Card Filter Menu: Use the f key to open the card filter. The search box will open automatically.
- Label: Pressing the L key opens a list of available labels. Clicking a tag adds or removes that tag from the card. Pressing one of the number keys adds or removes the label on that number key. (1 Green 2 Yellow 3 Orange 4 Red 5 Purple 6 Blue 7 Sky 8 Lime 9 Pink 0 Black)
- Changing Tag Names: ;” Pressing the key will show or hide names in a clipboard. You can also click on any label in a clipboard to change this.
- Adding / Deleting Members: Pressing the M key opens the menu of adding / removing members. Clicking on a members profile picture assigns or unassigns the card to that person.
- Adding New Card: Pressing the n key will open a window for you to add cards right after the selected card or to an empty list.
- Move Card to Side List: ,” or .” When the mark is pressed, the card is moved to the bottom of the left or right adjacent list. Pressing the greater than or less than signs (< and >) moves the card to the top of the adjacent left or right list.
- Card Filtering: Pressing the Q key toggles the cards assigned to me filter.
- Following: You can follow or unfollow the card by pressing the S key. When you follow the card, you will be notified about the transactions related to the card.
- Self Assignment: The space key adds (or removes) you to this card.
- Editing the Title: While viewing a card, pressing the T key changes the title. If you are on a card, pressing the T key displays the card and changes its title.
- Vote: Pressing the V key allows you to vote (or unvote) a card while the Vote Power-up is active.
- Toggle Clipboard Menu On/Off: Pressing the W key toggles the right-hand clipboard menu on or off.
- Remove Filter: Use the x key to clear all card filters.
- Opening the Shortcuts Page: ? When you press the key, the shortcuts page opens.
- Autocomplete Members: When adding a comment, enter @ and a members name, username, or members initials to get a list of members matching your search. You can navigate the list with the up and down arrow keys. Pressing enter or tab allows you to mention that user in your comment. A notification is sent when said user comments are added. When adding a new card, you can assign cards to members before adding them using the same method.
- Auto-Complete Tags: When adding a new card, you can get a list of tags matching your search by entering # and a list color or title. You can navigate the list with the up and down arrow keys. Pressing enter or tab allows you to add the tag to the created card. Tags are added to the card as you add it.
- Position Auto-Complete: When adding a new card, you can enter ^ and a list name or a position in the list. You can add top or bottom to the beginning or end of the current list. You can navigate the list with the up and down arrow keys. Pressing enter or tab will automatically change the position of the created card.
- Copying Card: If you press Control + C (Windows) or Command + C (Mac) when hovering over a card, the card will be copied to your temporary clipboard. Pressing Control + V (Windows) or Command + V (Mac) while on a list copies the card to the list. This also works across different boards.
- Move Card: If you press Control + X (Windows) or Command + X (Mac) when hovering over a card, the card will be copied to your temporary clipboard.
- Undo Transaction: Pressing the Z key undoes your last transaction on a card.
- Redo Action: Pressing Shift + Z after undoing an action will redo the last undone action.
- Repeat Action: Pressing the R key while viewing or navigating a card repeats your last action on a different card.
